CampusThreads Network Corp. (“CampusThreads,” “we,” “us,” or “our”) provides a platform that helps educational institutions manage student-ambassador programmes and communicate with prospective students. This Privacy Policy describes how we handle personal information when you visit campusthreads.co, contact us, or use CampusThreads services.
Who is responsible for personal information
When an educational institution or other organisation uses CampusThreads, it normally decides the purposes and means of processing the information it collects about administrators, ambassadors, prospective students, and other users. That customer is the controller of that information, and CampusThreads processes it as the customer’s processor to provide, secure, and support the service under the applicable customer agreement and Data Processing Agreement (DPA).
CampusThreads is the controller for information we use for our own business operations, such as information about website visitors, prospective customers, customer contacts, billing, account administration, and direct communications with us.
Information we process
Depending on the services and features a customer enables, we may process:
- account, identity, role, and contact information;
- profile information, messages, programme activity, and other content users submit;
- communications and delivery information for customer-enabled email, SMS, push-notification, or similar features;
- technical, security, audit, and diagnostic information needed to operate and protect the service; and
- integration or feature-specific information that the customer authorises, such as calendar or CRM information.
We ask customers and users not to submit unnecessary sensitive or special-category personal information to the service. Where a customer chooses to process such information, the customer is responsible for ensuring an appropriate legal basis and safeguards.
How we use information
We use information to provide and administer the service, authenticate users, enable customer-authorised communications and integrations, provide support, maintain security, prevent misuse, troubleshoot and improve reliability, meet legal obligations, and manage our customer relationships. Optional product analytics, AI features, communications, and integrations are used only when the relevant feature is enabled or authorised for the customer. We do not use Customer Data for unrelated advertising purposes.
For processing where CampusThreads is the controller, our legal bases may include performance of a contract, our legitimate interests in operating and securing our business and services, compliance with legal obligations, and consent where required by law. Customers determine the legal basis for their processing of Customer Data.
Service providers and international processing
We use service providers to operate parts of the service, including cloud infrastructure, hosting, authentication, communications delivery, monitoring, analytics, approved AI features, and customer-authorised integrations. Providers receive only the information needed for their role. We require appropriate contractual and security safeguards for providers that process personal information for us.
Personal information may be processed in Canada, the United States, or other locations where CampusThreads or authorised service providers operate. Where a restricted international transfer is involved, we use an appropriate transfer mechanism and supplementary safeguards where required by applicable law and the DPA. Current customers may request information about subprocessors relevant to their use of the service at team@campusthreads.co.
Security
We use technical and organisational measures designed to protect personal information, including access controls, least-privilege practices, multi-factor authentication for relevant administrative access, encryption in transit and at rest for managed production data stores, monitoring, secure development practices, and incident-response procedures. Access is limited to authorised personnel and service providers with a legitimate need to know who are subject to confidentiality obligations. No method of transmission or storage is completely secure.
Retention and deletion
We retain Customer Data for the duration of the customer relationship unless the customer gives a documented instruction or the parties agree otherwise. When an engagement ends, we delete or return Customer Data in accordance with the DPA and documented instructions, generally within 30 days, except where a legal hold, legal or regulatory obligation, or agreed contractual retention period requires otherwise. Deletion removes data from active systems; encrypted, access-controlled backup copies may persist until their recovery-retention period expires.
For information where CampusThreads is the controller, we keep information for as long as necessary for the purpose described in this policy, including to meet legal, accounting, security, and reporting requirements.
Your privacy rights
Depending on where you live and the circumstances, you may have rights to request access, correction, deletion, restriction, objection, portability, or information about certain automated decisions. If your request concerns information controlled by an educational institution or other CampusThreads customer, please contact that customer first. We will assist our customers with requests as required by the DPA and applicable law.
For information that CampusThreads controls, or if you need help identifying the relevant customer, email team@campusthreads.co. We may take reasonable steps to verify your identity. You may also have the right to complain to the relevant data-protection authority.
